Workspace Intelligence transforms Gemini into a comprehensive AI agent capable of handling all aspects of your work.

      A few weeks back, Google revealed a new feature known as Personal Intelligence. The general concept is to allow Gemini access to the content saved in your Gmail and Photos. The next time you inquire about travel plans, projects, or any related topics, it will effortlessly use your stored information to provide helpful answers, without requiring any context from you.

      It simply understands you.

      Now, Google is applying the same concept to Workspace, which is the central location for your work tools, including Docs, Sheets, Slides, and Drive, among others. To suit the feature, it’s been named Workspace Intelligence. Essentially, it enables Gemini to access information stored across Workspace applications and deliver personalized responses.

      So, what’s the significance of Workspace Intelligence?

      According to Google, Workspace Intelligence removes the inconvenience of constantly switching between various files and folders. Instead, you only need to provide the appropriate command—naturally—and it will accomplish tasks by leveraging its understanding of your work data and selecting the correct context.

      “Workspace Intelligence retrieves your relevant emails, chats, files, and information from the web to transform ideas into professionally formatted drafts that reflect your unique voice, brand, style, and company templates,” the company stated in a blog post. This functionality is akin to what Anthropic’s Claude can achieve, particularly in Microsoft PowerPoint through an extension system.

      So, how will this benefit me?

      For instance, in Docs, when you engage Gemini, it will perform tasks based on its historical knowledge of your workflow. For example, if you request it to edit an image, it will automatically apply the appropriate edits based on your previous preferences, ensuring consistent results without requiring you to manually adjust each asset in the document.

      Gemini will also manage comments, and according to your directions, it can autonomously implement necessary changes in the document. Google mentions that you can generate slide decks in one go simply by asking Gemini to create them. “Gemini utilizes context from Workspace Intelligence and adheres strictly to your company’s templates and visual styles to create a presentation-ready deck,” the company explains.

      Additionally, AI Inbox and AI Overviews in Gmail are included in the Workspace Intelligence suite. The former transforms your Gmail inbox into a task-focused interface, allowing you to quickly catch up on discussions and tasks. The latter generates a summary of email threads, similar to AI Overviews found in Google Search.
