Microsoft is introducing reply notifications, rule-based templates, and enhanced categories for Outlook
Recently, Microsoft has been addressing some persistent issues in Windows 11, such as aspects of the Start menu and Search. According to a new report from Windows Latest, the company is also working on several beneficial updates for the new Outlook app on Windows 10 and Windows 11, which became widely available in 2024.
One notable addition is a warning for users who attempt to reply to an older email after receiving a newer response within the same conversation. This notification aims to prevent users from replying without being aware of the latest information in the thread.
How will the warning function?
Outlook will verify if the message you are responding to is still the most current one in the conversation. If a newer reply has been sent, the app will alert you before you proceed. Microsoft intends to enable this feature by default, though it has not disclosed what the alert will look like.

According to Microsoft’s roadmap, testing commenced around July 7, with the public rollout anticipated by the end of August 2026. The warning feature will also be implemented in Outlook.com.
What other updates are coming to Outlook?
Microsoft is enhancing categories in the new Outlook as well. Users will have the option to apply a category via the right-click menu, pin frequently used categories to Favorites, and drag messages to a pinned category for labeling. These category enhancements are expected to be available by the end of September 2026.
Additionally, rule-based replies using saved templates are on the horizon. Users will be able to create a template, set parameters for incoming messages, and have Outlook automatically send the predefined response when those parameters are met. This feature is expected to roll out starting in September 2026.
