Microsoft aims to prevent screenshot leaks, tackling the issue one Edge tab at a time.

      Sensitive PDFs are set to receive screenshot protection, exclusively in Microsoft Edge.

      Microsoft aims to enhance the privacy of your sensitive PDFs by addressing one of the more apparent gaps in its document protection system. This move also provides businesses with another impetus to retain Microsoft Edge as their browser of choice.

      Beginning next month, OneDrive and SharePoint will restrict screen captures when users access specific sensitivity-labeled PDFs via their web viewers in Microsoft Edge. This restriction is applicable to enterprise organizations utilizing Microsoft Purview Information Protection, rather than individual OneDrive accounts.

      Standard PDFs will remain unaffected.

      The protection is specifically designated for PDFs that bear a sensitivity label without the Copy permission, also referred to as EXTRACT. If these criteria are fulfilled, screen capture enforcement will be automatically activated when the document is viewed in Edge. Existing labels and organizational policies will continue to be in effect.

      Microsoft

      Files without labels and those with labels lacking these restrictions will behave as they normally do. This feature will impact OneDrive for Business and SharePoint Online, so users won't suddenly lose the ability to screenshot a restaurant menu or an instruction manual. The company noted that this update aims to bridge the gap between its desktop applications and browser experiences.

      Purview labels have already been capable of preventing actions like editing, printing, copying, and capturing screenshots within supported desktop applications. However, PDFs opened in the browser have not consistently upheld the same screen-capture controls. Administrators can also disable local downloads, stopping users from simply saving a protected document and reopening it elsewhere.

      Currently, this protection is limited to Edge.

      Other browsers such as Chrome, Firefox, Safari, and various mobile web browsers will not support this restriction when it becomes widely available. Microsoft cautions that users attempting to open protected documents outside of Edge may experience inconsistent enforcement and recommends that businesses utilize Conditional Access or browser-management policies to ensure employees use Edge.

      Presently, this feature is exclusive to Microsoft Edge. The security advantage is clear, particularly for companies that share sensitive materials like financial documents, legal papers, or unreleased products. Its effectiveness largely hinges on persuading, or necessitating, all involved parties to use Microsoft’s browser.

      Windows Latest reports that support for additional browsers and mobile applications may come in the future. However, Microsoft hasn't provided a timeline for a broader rollout. Targeted organizations are expected to start receiving the feature in early August, with a global rollout anticipated between mid and late August.
