      Microsoft 365 applications will prompt users to back up their files to OneDrive, as indicated in a new Message Center announcement aimed at enhancing data security. In the coming months, Word, Excel, and PowerPoint will display prompts to help prevent data loss and ensure users can access their essential files conveniently.

      Starting in mid-March 2025, these prompts will encourage users to enroll in the OneDrive Known Folder Move (KFM). The public preview is expected to run until early April 2025, with general availability anticipated by May 2025. KFM is a OneDrive feature that allows the synchronization and backup of important local folders, like Desktop and Documents, enabling easy access to files across multiple devices.

      Microsoft highlighted the benefits of KFM enrollment, which includes support from Copilot, accessibility from any device, simplified collaboration, enhanced security and compliance, backup capabilities, AutoSave access, and Version History. However, only “eligible” users will receive the prompt, and no action will be required on their part. The feature will be automatically enabled, and if KFM is blocked by an IT administrator, the prompt will not appear.

      Knowing how to sync files and folders to OneDrive alleviates concerns about file loss. It’s also reassuring to know that enrollment in KFM is optional and not mandatory. Unlike last year, when Microsoft mandated file backups to OneDrive without obtaining user approval, this approach gives users a choice. Ultimately, each organization will determine what is best for them and assess the benefits of signing up.
